6. Privacy Notice


Gomersal & Cleckheaton Football Club (“the Club”, “we”, “our”, “us”) takes your privacy seriously. We are committed to protecting the personal data of all players, parents, volunteers, and members involved with our Club. As the data controller, we are responsible for the processing of personal data you provide to us.

This Privacy Notice explains:

  • What personal data we collect and why
  • How we use your data and who we share it with
  • How we keep your data safe
  • Your rights and choices

What Personal Data We Collect

Personal data means any information about an individual that can identify them. We also process special category data, such as medical information, which is subject to additional protections under UK data protection law.

You may provide this information when registering with the Club, filling in forms (paper or electronic), or through contact by phone, email, or in person.

This may include:

  • Name, date of birth, gender
  • Address, email, phone number
  • Emergency contact details
  • Relevant medical/health information (with consent)

If you do not provide the required information, we may not be able to administer your membership or allow participation in Club activities.

Why We Process Your Data

We only use personal data for purposes directly related to your involvement with the Club. Our lawful basis for processing this data is based on contract, consent, or legitimate interest.

Who We Share Your Data With

We may share your data with:

  • The FA’s Whole Game System, County FA, and affiliated leagues (for registration and competition purposes)
  • Coaches, referees, and authorised club volunteers
  • Approved third-party providers for club-related services

Data is only shared when necessary and with appropriate safeguards. In exceptional cases, such as safeguarding or legal obligations, we may be required to share information with relevant authorities.

If data is ever transferred outside the UK, we will ensure it is protected with appropriate security measures.

How We Keep Your Data Safe

We use suitable technical and organisational safeguards to protect your personal data from unauthorised access, loss, or misuse.

How Long We Keep Your Data

We retain personal data while you are an active participant. It will be securely deleted within 12 months of you leaving the Club, unless legally required to retain it longer.

Data held by external systems like the FA's Whole Game System is governed by their own privacy policies.

Your Rights

You may have the right to:

  • Access, correct, or request deletion of your personal data
  • Object to certain types of processing
  • Request data portability
  • Lodge a complaint with the Information Commissioner’s Office (ICO)

You are not required to provide personal data, but without it, we may be unable to register or manage your membership effectively.
